Graduation is usually remembered for the gowns, photographs, celebrations, and the excitement of finally reaching the end of a chapter. But for us, being part of the Graduation Organising Committee meant experiencing a completely different side of the event the planning, coordination, last-minute changes, and teamwork that happened behind the scenes.
Our graduation event was held at The Plaza, Pulchowk, and bringing everything together was a team effort involving 9 organising committee members and 23 volunteers. From the initial preparations to the final wrap-up, everyone had a role to play, and each person contributed to making the event what it eventually became.
The Preparation
The work started well before the actual graduation day. There were plenty of things to take care of, including gown distribution, ticket management, coordination with students, logistics, decoration, scheduling, and making sure the overall program was ready.
One of the most important parts was ensuring that everything planned before the event was completed properly. Gown distribution and ticket arrangements were handled beforehand, which helped make things smoother on the actual day. There were many small details that had to be checked and rechecked, but seeing everything come together made all the preparation worthwhile.
The Event Day
Once the event finally began, the preparation started to show.
The execution went surprisingly smoothly. The program followed the planned schedule, and we even managed to finish earlier than expected. The decor, MC script, program flow, and logistics all came together well, making the event feel organised from the audience’s side.
Of course, everything wasn’t completely calm behind the scenes.
There were moments during the program when we had to move around, coordinate with different people, check things, and make quick decisions. For a while, it felt a little hectic, with everyone running around trying to make sure nothing went wrong. But that was also one of the most memorable parts of the experience.
What looked effortless to the audience was the result of everyone quietly doing their part backstage.
The Power of Teamwork

Working with 9 committee members and 23 volunteers taught us that an event cannot be handled by one person alone. Everyone had different responsibilities, different strengths, and different ways of approaching situations.
We learned how important communication, coordination, time management, responsibility, and adaptability are when working as a team. Sometimes plans changed, sometimes we had to solve things immediately, and sometimes we simply had to trust each other and keep going.
The experience also showed us that good teamwork is not just about dividing tasks. It is about helping each other when something unexpected happens and making sure the final result remains the priority.
After the Event
Even after the main program ended, our work wasn’t immediately over. The post-event tasks and final coordination were also completed smoothly. Receiving positive feedback after putting so much effort into the event made the entire experience even more rewarding.
Looking back, there were definitely stressful moments. There were times when we were tired, running around, or wondering whether everything would actually come together the way we had planned. But once the event was over and we could finally look at everything as a whole, it felt completely worth it.
More Than Just a Graduation

For us, this event became more than just a graduation ceremony. It became an experience where we learned things that cannot always be learned inside a classroom.
We learned how to work with people, manage responsibilities, communicate under pressure, solve unexpected problems, and stay coordinated even when things became hectic. Most importantly, we learned the value of teamwork.
The event may have lasted only a few hours, but the work, learning, and memories behind it will stay with us for much longer.
And if we were given the opportunity to do it all over again?
We probably would.
Because despite the busy schedules, last-minute work, and hectic moments, seeing everything come together in the end made every bit of effort worth it.
